Understanding the Impact of the Change
Changing the fiscal year affects your financial data and reporting. Specifically:
- Financial statements such as the balance sheet and income statement will be adjusted.
- Two fiscal years cannot share the same identifier (e.g., 2024-1 and 2024-2)
- The new fiscal year must be named after the following calendar year (e.g., 2025), even if the change is made in 2024.
Recommandations Before Proceeding
To ensure a smooth transition, it is strongly recommended to perform the following actions:
- Schedule the change at the end of the week to minimize operational disruptions.
- Perform a full backup of data.
- Extract and archive the latest balance sheet and financial statements.
- Update test company data, if applicable.
Preliminary Step - Trying via maestro*
Before submitting a request or proceeding with a manual intervention, it is recommended to first attempt the fiscal year change through the maestro* portal:
- Launch the Edit a Fiscal Year option.
- Enter the Key and Password to proceed with the fiscal year change.
- Complete the process as instructed.
If the modification is successful, no further action is required.
If the modification fails or an error occurs, please proceed with the steps outlined below.
Required Information Prior to Proceeding with a Fiscal Year Change
The following information must be reviewed and submitted to facilitate the evaluation and processing of requests:
- Modules Used:
- Asset Management
- If this module is active, the request will be forwarded to the Professional Services team. To support their assessment, the depreciation data file (AMAMORT.do) must be provided in Excel format to help assessing the scope of the change.
- Inventory Management
- If either or both of these modules are used, the request will be evaluated by Professional Services. A formal proposal will be issued following their assessment.
- Asset Management
- If neither of these modules are used:
- Approval of billable work is required
- The following details must be provided
- Multidimensional configuration
- Indicate whether the company operates in multidimensional mode. If applicable, specify whether the companies are located in the same directory and provide the directory name for each.
- Transaction volume
- This information is accessed via:
- Accounting > Analysis and Inquiries > Accounting > Journal Entry Inquiry, then click Show Last Record to detemine the number of transactions.
Billing Information
Once the procedure is approved, any support requests or inquiries related to financial statements will be considered billable.
